Riordan Manufacturing wants to update the software applications used by the Human Resources Department. The overall objective is to integrate all of the existing applications currently in use into a single application that will be implemented at all of the company locations. This portion of the project plan will concentrate on the project budget.

Learning Team A will discuss the Business Requirements Document (BRD) and the Work Breakdown Structure (WBS).Business requirements documentThe Business Requirements Document (BRD), is a document that is used as a tool in projects to update or create informations systems or software. This document outlines in greater detail the objective or goal of the proposed project. Riordan Manufacturing wants to update their Human Resources Information System (HRIS) which was initially installed in 1992. It is now 2014, so their system needs to be updated.

The BRD may contain many different parts, but only a few will be discussed.User expectationsThe HRIS is a system that is used by many employees within Riordan Manufacturing. Every employee could be considered a stakeholder in the project and all of them have their own expectations of what the new application should do upon implementation.The individual employees want to have a system where they can go and update their own personal information. Currently, changes need to be submitted through their manager for input into the system.

Employees also want to have the ability to see their own individual training files, and any information dealing with their pay and benefits.Managers want to have a central location for employee files are maintained. With the current system, each manager keeps files on their respective subordinates. They also would like to see the system allow for individual employees to update their own personal information. The managers have to spend time submitting paperwork to the HR department when they should be performing other important tasks.

The managers should also have the ability to see their subordinates’ training files to ensure they are current on job specific training.The employees within the HR department also have their own expectations or requirements. All of the functions of the HR department should be managed within the company. Currently, the Worker’s Compensation cases are managed by a third party. With the new system, the HR department wants the ability to manage those cases within the company reducing the need for an outside entity. The HR department also wants the ability to maintain the FMLA files which managers currently track.

System requirementsAll of the stakeholders have agreed on some basic system requirements that should be incorporated into the new HRIS. The primary requirement should be an application that is secure. All of the employees want to be sure that their personal information is safeguarded. Each employee needs to have an individual user name and password to gain access to the system. Each employee should also have only the level of access that they require.

For example, an employee should only have the ability to see their own information and that is all. Managers should have access to see their subordinates’ personnel files but not files of other employees within the company. The HR personnel should be able to see all of the employees’ personal information as well as payroll information. Access to the system needs to be based on specific job functions and position requirements. Functional requirementsThere are a few functional requirements that the stakeholders have agreed upon. One of the requirements is that the new system is user friendly.

The new system must be easy to use with minimal training required. The HRIS should be constructed so that the users can easily find the information that they are looking for quickly and easily from a home page. Updates or changes need to be easily accomplished. A lengthy or complicated process could discourage employees and lead to incorrect information in the system.
