1. When organising a business event, describe the range of support activities that may be required.
Support activities will include before event activities like preparing documents or invading speakers. Will also include during event activities like face to face interactions with the clients, guests, but also plenty of not straightforward activities such making sure that everything is in correct place, all guests arrived. It will also include looking after refreshments, guest that they are looking/need information. Will also include after event tasks. It’s very important to close event analysing the feedback forms, following up leads potential clients and also for future references review whole event to look for improvements for next time.

1. Explain the purpose of displaying professional and helpful behaviour when supporting a business event.
The most important purpose of displaying professional and helpful behaviour is to achieve the objectives. Employees at every step represent the company. “Fine feathers make fine birds”. At every event staff is always closely watched so is very important to stay positive and professional at all the time because people will make judgments (positive and also negative) By providing a professional view of the company we will satisfy clients and we will not waste resources
2. Describe ways of exhibiting professional and helpful behaviour whilst supporting a business event.
There is few ways of representing professional view of the company, that will include: communication (verbal and none verbal) like eye contact, smile or active listening. That will include appearance: looking clean, smell good, dress accurate to situation/event. Will also include: behaviour- being polite, helpful kind and attentive. Very important is to have a detailed knowledge of the event and being able to answer most people’s questions.
Section 3 – Understand how to deal with problems encountered when supporting a business event
1. What are the main types of problems that may occur when supporting a business event? You should include at least three different types of problems in your answer.
At least three types of problems will be: Technical difficulties People issues Process problem.
2. Identify possible solutions for each of the problems you have listed in Question 1 above.
Technical problems can be from minor issues to a problem that can ruin a whole event. Very important is to prevent the problems at first place which is not always possible. Check the audio-visual equipment; make sure that everyone is at their position. People issues need include calm and positive manner. If organizers will stay calm, when thing go wrong it’s easier to keep people’s reaction in soothing atmosphere. At process problems we need to remain calm, try to find solution as soon as possible, not wait until problem escalate. For example try to find colleagues that could solve the problem or mistake. Always stay polite, calm and positive. Apologize. Ensure the problem is not repeated.
